Introduced a Save button to the job card to alleviate the necessity to park the job onto the diary screen to save.

Booking Form:

Printer Settings:

New option in printer settings to print invoice header on every page.
 

Security:

Ability to print invoices in security set to on by default - due to the nature of how security works this was not possible to make automatic, so admin will have to manually give their users this permission.

Bug Fixes:

Fixed a bug where after installation of version 2.6.2 a number of buttons were missing on the diary screen.
Fixed a bug where payroll reports were flashing up momentarily on screen to be replaced by a blank report.

Diary:  

Blocked Days: When a day is blocked all functions are available except the ability to create a new booking on that day.
Sort Options: Jobs can be sorted by client name, vehicle registration or job number.
Refresh Option: A refresh option has been added to the diary screen.
Jobs Carried Forward: Ability to set-up a prompt reminder to edit the allocated hours for the day when a job is carried over from a previous day

Bookings:

Client Notes: When notes are recorded against clients a note icon is included on the client button.
Diagnostic Worksheet: Vehicle Registration Field Added.

Client Listing

Email Addresses: When an email address is recorded on the client form a [@] symbol is displayed in the name field. Hovering your cursor over this symbol will show the email address.
Emailing Clients: Ability to email a single client from the client record in the clients listing.

Vehicle Form:

Cylinder Field: Allows for the entry of alphas and numeric's i.e. V6.
Tyre Size Field: Has been expanded to accommodate front and rear tyre sizes if they vary.
Vehicle History Transferring: Allows vehicle history to be transferred to another client and vehicle, a record remains on the original client form however all outstanding amounts for the job are transferred to the new client / vehicle.

Technician Labour Allocation:

Technician Allocation screen now displays the job status in text format.
Technician labour allocation screen displays job status.

Report Printing: - Version 2.6.2 allows you to select the allocated time for a single technician.
Blocked Days: The technicians allocation and clocked on screens now display shaded out.

Job Card: 

Job Notes: If job notes exist on the diary the note option at the bottom of the job card displays a note it icon making the technician aware that there are notes attached to the job.
Sales Person Field: Now displays Christian name first then surname.

Suppliers:

Web Details: Addition of a web site field to the supplier form and new banking details and comments option.
Bank Details Comments Tab: Allows you to record the bank details of a supplier for ABA file exports.

Parts: 

Tax Defaults: Version 2.6.2 gives you the option to select whether cost / retail of parts and services should include / exclude tax.
Tax Included As Default: Select this option if you wish the cost and retail prices to default to tax included, leave blank if you wish the default to be ex. Tax.

Payroll: 

Tax Option: Version 2.6.2 contains a new tax checkbox column on the payroll payment form, when selected the payment will be taxed if left unchecked then the payment will be excluded from the taxable gross income.
Superannuation Funds, Recording: On the employee form you have the ability to record the superannuation fund both for the employer and employee (they may be different) at the bottom of the payroll / payments form the super fund is displayed for both employer and employee contributions, and superannuation contributions report can be run from reports / payroll which lists all  contributions by employee and superannuation fund.
Rostered Days Off: Ability to enter the quantity of hours / days with no value and they will be deducted from the accrued totals.

Printing: 

Printer: Ability to select another printer other than the default.
Invoice Printing: When letterhead is not selected the first page includes the header and logo all subsequent pages do not have the header or logo.
Emailing, PDF: Emailed invoices, quotes and summaries now include the logo (if selected).

Security: 

Print Reports: New security feature available from Settings / Database Settings – Manage Users when selected prevents the operator from printing reports.

Marketing:

Service Reminders, Emailing: Version 2.6.2 allows you to email service reminders to your clients, there are two ways this can be performed: 

  •  Plain Text email.

  •  Enhanced Email - Template email including booking response feature (chargeable service). 

Text Emailing: Automation allows you to communicate marketing messages via email,
Email Messages, Creating: You can create and store email messages by selecting email messages from the lists menu, alternatively create a message from the list as you proceed through the sending option.

Email Marketing, Enhanced: Email with Integrated Booking Function:  

  • The email arrives as a letter complete with mail merge, logo and power margin—Not just plain text. 

  • There is a book now option on the email, clicking this will simply require your client to enter the preferred date and time they would like their vehicle serviced.

  • Booking is transferred to the site and populates the diary, the site must then go through the confirmation process, this can be handled via a phone call (if an alternate date and time is
    suggested). email or text message (to confirm the client's request).

The management process will populate your booking form automatically, no need to find the client, vehicle details or service due, the only time you will need to edit a repeat booking is when an alternate date / time is agreed. Bill Payments:

Remittance Advice, Emailing "Remittance Advice, Emailing": Ability "Remittance Advice, Emailing" to email a remittance advice, remittance advice now prints the bills by issue date not due date.
Capricorn Reconciliation: When using the on-line Capricorn reconciliation feature the total spend by supplier is included on the form.
On-Line Payments: Ability for Automation to generate an ABA file for export to your bank to process single or multiple payments to your suppliers.

Purchasing: - Version 2.6.2 allows you to choose whether you wish to include / exclude previous costs from printed or emailed purchase orders.

Credits, Emailing: You can email credits to the supplier by selecting the email option at the bottom of the credit form. A confirmation message is displayed when the email is successfully dispatched.
Credits, Original Supplier Invoice Details: When raising a credit for a buy-in the original supplier invoice # is inserted in the reference field with the letters CR indicating the # forms part of a credit transaction.

Reports: - Version 2.6.2 contains 4 new reports.

Marketing: Response Report.
Technician Time Reports: Non-Chargeable Time Report.
Service Reports: Vehicle Service Report.
Sales Reports: Client Spend.

Microbase in conjunction with Repco Auto Parts have developed an on-line facility that allows Repco registered users to import bills directly to Automation’s purchasing

Allows Microbase support personnel powerful remote management and problem-solving tool. Problems can be diagnosed quickly and corrected on desktops, laptops,

Purchasing:
Addition of the auto-comment "For Job #123" when an item on a PO is assigned to a job.

Bug Fixes:
Fixed a problem where copy and paste using the mouse would not work in the work done or vehicle report text areas in both Vista and Windows 7 Operating Systems.
Fixed the loss of control buttons when accidentally clicking twice on any of the main database buttons.
Fixed the estimated hours display window where the amount of hours would go to 5 decimal places instead of 2.

Allow a booking to be created but will display a warning that the client accounts has been blocked when attempting to create the job card.

Quotations:
All Buy-ins when a quotation is converted to a job will now be allocated the correct job number.

Diary Display:
Now auto adjusts to the width of the screen

Labour Allocation Table:
The labour allocation table is displayed at the top of the diary screen; values can be calculated in two ways. 

  1. Total technician hours available minus the allocated total value from the technicians allocation screen.
  2. Total technicians time available minus the total estimated time for all jobs on the viewed day.


Technician Hours Available:
Ability to record days or periods when a technician is not available.

Bookings Response Tracking:
Allows the how did you hear of us option on the client card to print on any subsequent booking form print-outs. 

Work Descriptions:
Ability to not print work descriptions on booking forms

Vehicle Faults:
Vehicle faults reported on the prior invoice will display in the booking form with a red exclamation mark above the tab header.

Booking Form:
Two new fields have been added to the booking form – Type and seating capacity.

Loan Car Contract:
Allows you to edit the terms and conditions of the loan contract.

Viewing Bookings:
Loan car bookings are now represented by an orange bar in both day and week diary screens.

Site Details:
Ability to enter four text messages that are printed at the bottom of the invoice, client statement, sign off / authorisation and receipts. A fifth option tab is available to enter terms and conditions for the loan car contract.

Estimated Hours:
Ability to calculate from estimated time rather than technicians allocated times.

Security:
Ability to prevent the printing of job summary by user.

RTA #:
New field for in Site Details for registration number that needs to be printed on the invoice.

Email and Web:
Address fields are now case sensitive regardless of the auto format text settings.

Local Settings:
Ability to select the start up format, job view or task view.

Charged Clients:
Allows you to record clients that have charge accounts to display an asterisk in client listing.

Blocked Clients:
Ability to Block clients from any further sales.

Fuel Type:
Addition of Diesel / LPG to the fuel type menu.

Supplier Form:
Improved comments field (previously notes) on the supplier form plus any text entered for a supplier will display a note icon in the listing. A billing address can be entered by selecting the billing address tab from the supplier form.

Note: 
New note selection on the lower menu bar allows the operator to view job notes entered on the diary screen

Report:
Automation now has a modified job report that allows you to view profitability based on charged or actual hours.

Quotations/Estimates:
Ability to convert quotes to bookings or open jobs.

Parts Form:
Improved part form that includes a comments tab with a larger text area, also any comments included on the form will display a note icon in the parts listing.

Receipts:
Two new payment media types – Shell and Caltex cards.

New Bill Form:
Two new features on the bill form, you can now scroll back to view previous invoices for the same supplier or select next and create a new bill with the same date and supplier. A new sort option on selection will sort all items by part number.

Non Chargeable Time:
Ability to create multiple non-chargeable tasks.

Productivity Reporting:
Updated productivity report displays all clocked labour allocations by technician / job for a selected day. Chargeable and non chargeable times are totalised by each and all technicians.

Salary Sacrifice:
When this option is selected the contribution is not taxed and the value does not appear on the employee’s payroll summary.

Holiday & Leave Entitlements:
Ability when paying leave loading the value will automatically be entered based on 17.5% x holiday pay. The value can be edited if required.

Printer Selection:
Ability to connect three standard and one receipt printer.

Job Card & Invoice Format:
Allows the choice of three types of job cards and seven types of invoice formats.

Email:
Ability to send emails directly from the client, job card or quotation form the subject matter and reference is recorded in the task section with the ability to view the attachment sent.

Statement Creation:
Choosing the selective option allows you to select individual or multiple clients you wish to print or email statements for from the client list. Both options will display a list of clients with outstanding balances, you now have the ability to select by what means you wish to deliver the statement either email or printed.

Marketing Filter:
A new filter has been added to marketing / extract criteria that allows you to search for account customers only.

SMS Sending/Receiving:
Allows the delivery of two way SMS service

SMS Logging:
All SMS messages are recorded in a log file, to view / print.

Reports Saving To PDF:
Ability to save any report to a PDF file.

Site Communication:
On installation of version 2.6.1 your site will be registered on the Microbase server which allows our support staff to communicate directly with a site through Automation Premium application. This facility will primarily be used to enhance support procedures.
